3. Definition of a Child

A child is anyone under the age of 18 years.

• Physical abuse

• Online/digital abuse

5. Code of Conduct for Staff & Volunteers

All staff and volunteers MUST:

• Treat children with respect and dignity
• Maintain professional boundaries at all times
• Never use physical punishment or intimidation
• Avoid being alone with a child where not necessary
• Use appropriate language and behavior
• Obtain permission before taking photos or videos
• Report concerns immediately

Staff and volunteers MUST NOT:

• Engage in any sexual activity with a child (strictly prohibited)
• Use abusive, insulting, or threatening language
• Exchange personal contact details with children (outside official channels)
• Transport a child alone without approval
• Ignore or conceal abuse concerns

6. Reporting Procedures

If abuse is suspected or disclosed:

1. Listen calmly and do not panic
2. Do not promise secrecy
3. Record what was said as accurately as possible
4. Report immediately to the Child Protection Officer
5. Escalate to relevant authorities if required

7. Designated Safeguarding Officer (DSO)

The organization will appoint a Child Protection/Safeguarding Officer responsible for:

• Receiving reports
• Coordinating response
• Ensuring safeguarding procedures are followed

8. Digital Safety

• No inappropriate communication with minors online
• All digital platforms must be monitored
• Data protection rules must be followed
• Online interactions must be professional and recorded where necessary

9. Recruitment Safety

• Background checks for staff and volunteers (where possible)
• Reference checks before employment
• Mandatory safeguarding orientation
